Step by step

How the Heathrow Chauffeur Service to Your Hotel Works, Step by Step

A private chauffeur transfer is booked before you fly and priced for the car, not per passenger. Searching for a Heathrow car service instead of a transfer? It is the same door-to-door ride, timed to your flight.

These six steps cover everything that happens between your booking and the hotel door.

1

Book with your flight number and hotel

Confirm your booking in one step, via the callback form or the online booking form, with your flight number, arrival date and the hotel name or address. Your fare is confirmed in writing at that moment, for the whole car. Your transportation from Heathrow to your London hotel is settled before you fly.

2

Flight monitoring

From then on we follow the flight itself rather than its scheduled time, so the pickup moves with your actual landing, early or late, without you having to call anyone. The first hour of waiting is built into the fare. The same car can stay on as a private driver for patients and companions during a treatment stay.

3

A name board just past customs, at your terminal

Your chauffeur stands in the meeting area beyond customs holding a board with your name, at the terminal your airline uses: T5 for British Airways, T3 for Virgin Atlantic, American, Delta and Emirates, T2 for United, Lufthansa and other Star Alliance carriers, T4 for Qatar Airways, Etihad and Saudia.

4

Help with luggage

We carry and arrange your luggage to the car, so your Heathrow-to-hotel transfer starts in complete comfort.

5

The drive from Heathrow to central London

Heathrow to the central districts is 23 to 27 km (14 to 17 miles), and the drive takes 35 minutes to just over an hour depending on the hour you land, in a modern, fully equipped private car.

6

Arrival at the hotel door, and what the fare included

We drop you right at the hotel entrance. The fare covered the whole car, the chauffeur, fuel, airport and road charges and a child seat on request; it does not rise for a night arrival, and you pay in cash or by card.

Mobility and big items

Can I Bring a Wheelchair, Pushchair or Golf Bag on My Heathrow Transfer?

Yes, as long as you tell us when you book. A folding wheelchair or rollator travels in the boot. Your chauffeur loads it at the terminal and unfolds it again at the hotel door.

Our cars have no ramp or lift, so the passenger needs to move from the chair to the car seat. For help through the terminal itself, ask your airline to arrange Heathrow’s own assistance before you fly.

A pushchair, golf bag or extra-large case changes which car fits. List each item on the booking form next to your bag count. We then confirm a car with room for everything, so nothing rides on a lap.

The V-Class seats seven with a pushchair in the back, and child seats are free for children of every age.

Groups

Heathrow Airport to Hotel Group Transfers: One V-Class or Two Cars

Up to seven travellers fit in one Mercedes V-Class at a fixed £145 for the whole vehicle, so a family or a small team leaves the terminal together with every case in the back. Give us the bag count when you book. If the luggage outgrows the seats, we confirm a second car before the day, not at the kerb.

Eight or more? We send two cars, each at its own fixed fare. Both chauffeurs follow the same flight and wait at the same name board. The cars set off together and pull up at one hotel entrance, or at two different hotels if your group is split.

Landing on different flights? Book one car per flight. Each car is timed to its own landing, so the first arrivals are not left waiting for the last plane. For a wedding party, a delegation or a family reunion, put the group lead’s mobile number on the form and we coordinate every car through that one contact.

What Makes the Best Car Service from Heathrow to London?

A glossy website tells you little. Before you pay any company to meet your flight, run through five checks.

  • A real operator licence. Every private hire firm in London must hold an operator licence from Transport for London, and the number should appear on the booking page so you can look it up on the public register.
  • Your flight number on the booking. The pickup should move with the actual landing time, and the quote should say how long the chauffeur waits at no charge.
  • A face inside the terminal. Ask where you will be met. Being met at the arrivals barrier beats a phone call telling you to find a car park.
  • One total price, settled before you fly. Airport parking and drop-off charges belong inside that figure, not on a receipt at the hotel.
  • A car sized for your bags. Count suitcases as well as seats; a saloon that fits four people rarely fits four large cases.

Our own answers to each point are set out in the step-by-step guide above.

Why Book Private? One Car, One Hotel, No Shared Stops

A shared airport shuttle gathers passengers from several flights and drops them at several hotels on the way in. A private car does neither. The car is booked for your party alone, waits for your flight only, and drives from the terminal to one address: yours.

  • No waiting for strangers. You leave as soon as your bags are in the car, not when the last traveller on another flight clears customs.
  • A direct route. Your chauffeur drives straight to the hotel entrance, with no detours to drop anyone else first.
  • Your family together. Everyone rides in the same car, children in the seats you asked for, every case in the same boot.
  • Nothing added on arrival. London road charges are already inside the fixed fare.

Booking a private Heathrow to London hotel transfer for a larger party? The V-Class and two-car options above keep exactly the same private terms.

Arriving at Heathrow on Christmas Day: Does Your Transfer Still Run?

Yes. Our chauffeur service runs on 25 December, from every Heathrow terminal straight to your London hotel. Book well ahead, because Christmas Day requests arrive early and the number of cars is limited.

Your driver tracks your flight that day just as on any other. You meet at the name board just past customs, as described above. Roads into central London are usually quieter on Christmas Day, so the drive tends to run smoothly.

Landing in the morning? Most London hotels set check-in for the afternoon. Ask your hotel to hold your bags or confirm an early room. Then give us the hotel name when you book.

Flying home on Christmas Day? We collect you from your hotel for Heathrow that day too, working back from your airline’s advice.

A question about your terminal or arrival time? The answers are below — or book online and tell us in the notes.

Frequently Asked Questions About Our Heathrow Airport Transfer & VIP Service

We answer the questions our clients ask most about the Heathrow-to-London transfer and VIP service, to help you decide with confidence and enjoy a relaxed, worry-free arrival.
How long does the transfer from Heathrow Airport to central London take?

By our own hour-by-hour data, the drive to Mayfair takes 35 minutes at night, about an hour if you land between 07:00 and 09:00 on a weekday, and about 50 minutes from 10:00 to 14:00. This is driving time only; allow extra for passport control and baggage. Heading back out to Heathrow, the slowest hour is 17:00 at 57 minutes. Hour-by-hour tables: Heathrow journey times by hour.

Does the price include waiting if the flight is delayed?

Yes. We track your flight and adjust pickup to its actual arrival. Your transfer includes 60 minutes of free waiting after landing for passport control and baggage collection. Contact us if airport formalities are taking longer so we can coordinate your pickup.

Where will the chauffeur be waiting for us inside the airport?

Meet your chauffeur or greeter in the public arrivals hall after customs, holding a sign with your name. Provide your flight number when booking so we can coordinate the correct terminal. If you cannot find the sign, contact our team before leaving the terminal.

Can I book the VIP + Fast Track service along with the hotel transfer?

Yes — you can combine the Start Your London Trip with Fast Track and VIP Meet & Greet at Heathrow with private transfer service to the hotel for a complete luxury arrival from touchdown to the hotel door.

Can I book on the same day of arrival?

We recommend booking the VIP service at least 24 hours before arrival to ensure availability, while the Heathrow Airport to hotel transfer can be booked the same day, subject to availability.

Can I pay in cash?

Yes. You can pay in cash directly to your chauffeur on the day, or securely by card online when you book. The amount is exactly the fare in your written confirmation, with nothing added for waiting, traffic or a late flight, and an invoice in your company name is available on request.

Which vehicle should I choose?

The Mercedes E-Class suits up to 3 passengers with 2 bags — ideal for couples and business travellers. Families and larger groups usually choose the V-Class with space for up to 7 passengers, while the S-Class and Range Rover offer the ultimate first-class arrival. Seven-seat fares and luggage capacity are on the Mercedes V-Class chauffeur page.

Can I book a Heathrow Airport transfer in advance?

Yes. Book in advance with your flight number, arrival date, destination and passenger details. We recommend at least 24 hours ahead. Vehicle availability is confirmed with your booking; same-day requests depend on availability.

Can the booking be modified or cancelled?

Yes — you can modify or cancel your booking for free up to 24 hours before pickup. If your airline cancels your flight, we move your booking to your new flight free of charge, even on the day of travel, or, if you prefer, we refund you in full.

How much is a Heathrow transfer to central London in US dollars?

Roughly $170 for the Mercedes E-Class and $195 for the seven-seat V-Class at the current rate — estimates only. Fares are set and charged in pounds sterling, so your card issuer’s exchange rate on the day decides the exact dollar amount. The price covers the car, not each passenger. The pound fare is fixed per car and confirmed in writing when you book.

Is a private transfer from Heathrow into central London worth it?

If you arrive with luggage, children or after an overnight flight, yes: your chauffeur is already waiting when you clear customs, the car is at the kerb, and the fare was agreed before you flew. Flight tracking means a late landing costs nothing, and you go door to door without changing vehicles.

What does the fare for a private transfer from Heathrow to my hotel include?

The fare is for the car, not per passenger. It covers the chauffeur, fuel, airport and road charges, the name-board meeting in arrivals, flight tracking, the first hour of waiting and a child seat requested in advance. It is confirmed in writing in pounds sterling when you book and does not change with a night arrival or with the number of passengers within the car’s capacity.

Neighbourhoods

Heathrow to Mayfair, Westminster, Kensington or Canary Wharf: What Does the Car Cost?

Mayfair, Westminster, Knightsbridge, Kensington, Marylebone, Belgravia and Paddington all sit inside our fixed central zone. A Mercedes E-Class from Heathrow to any address there is £125 per car, and the larger cars are in the price table above. Canary Wharf and the City of London are outside that zone, so the booking form prices them by road distance.

W8

Kensington

About 14 miles by road, the nearest of these districts to the airport: museums, Kensington Gardens and quiet garden squares. The easy choice after an overnight flight.

SW1X

Knightsbridge

About 15 miles. Famous department stores, Hyde Park on the doorstep and many of the city’s grand hotels. The road runs straight in from the M4.

W1

Mayfair and Park Lane

About 16 miles. London’s most exclusive quarter, between Hyde Park and Bond Street. Our hour-by-hour drive data puts it at about 35 minutes late at night and close to an hour in the weekday morning rush.

SW1

Westminster and St James’s

Parliament, Westminster Abbey, St James’s Park and the government quarter. Same fixed fare as Mayfair, and the car drops you at the hotel door or the office entrance.

E14

Canary Wharf

The financial district in the east, about 23 miles by road and the furthest of these from Heathrow. Priced by distance: enter the address in the form and every car shows its fare before you book.

EC

The City of London

The Square Mile around Bank, St Paul’s and Liverpool Street. Also outside the fixed zone, so the fare comes from the road distance to your exact address.

Heading to Covent Garden, the Strand or the South Bank? Type the address in the form; the fare for each car appears in the next step.

Heathrow to London’s Five-Star Hotels

Several of London’s grandest hotels sit around Hyde Park Corner, the first part of central London you reach from the west. The Lanesborough overlooks the corner itself, The Peninsula London stands on Grosvenor Place by Wellington Arch, and Four Seasons Hotel London at Park Lane is on Hamilton Place just off it. A little further west, Bulgari Hotel London is on Knightsbridge, close to Harrods. The drive to any of them takes about as long as the ride to Mayfair, so the same timing guide applies.

Along Park Lane, The Dorchester faces Hyde Park, while Claridge’s stands on the corner of Brook Street and Davies Street in the heart of Mayfair.

The Ritz London looks onto Green Park from Piccadilly, but its main entrance is on Arlington Street, and that is where your car pulls up. The Langham London is at the top of Regent Street, on Portland Place. Towards the river, Corinthia London is on Whitehall Place between Trafalgar Square and the Embankment, and The Savoy is reached through Savoy Court off the Strand.

Your chauffeur stops at the hotel’s main entrance and unloads your bags at the door. You book your room directly with the hotel; we simply get you there. First time in London? Our 5-day London itinerary with a private driver plans the days after you check in. For meetings or a shopping afternoon once you have settled in, a chauffeur car for several hours keeps one driver with you between stops.

Flying into Paris later in the trip? Our CDG airport transfer to your Paris hotel works the same way, with a chauffeur waiting in arrivals and a fixed fare agreed per car before you travel.

Airport Hotels

Staying at a Hotel Next to Heathrow?

Landing late or flying out at dawn? Some guests book one night beside the airport. Your chauffeur meets you in arrivals and drives you to any Heathrow hotel, or back to your terminal the next morning.

T5

Sofitel London Heathrow

Linked to Terminal 5 by a covered walkway. If you land at another terminal with heavy cases, the drive round is easier by car.

T4

Hilton London Heathrow Airport

Linked to Terminal 4 by a covered walkway. From Terminals 2, 3 or 5 it is a short drive, and the car pulls up at the main door.

A4

Bath Road hotels

Many other airport hotels line the Bath Road on the northern edge of Heathrow, a few minutes from the terminals by road.

Type the hotel name in the booking form and the fixed fare for your car appears straight away.

Return Journey

Going Back to Heathrow: Your Return Transfer from the Hotel

The return trip runs in reverse. Your chauffeur collects you from the hotel and drops you at your terminal’s departures entrance. Send your flight number and departure time when you book. We suggest a pickup time from that hour’s traffic and confirm it in writing.

Lobby

Collected from your hotel

Your chauffeur arrives before the agreed time and waits at reception or the main entrance. Bags are loaded for you. Car seats for children of all ages are available on request for the ride back too.

Time

Choosing when to leave

Airlines set their own check-in deadlines, and long-haul flights close earliest. Tell us what your airline advises and we work back from it. On weekday evenings we add extra margin for the rush hour.

T2–T5

Dropped at the right terminal

We check which terminal your airline departs from before the day. Your chauffeur stops at its departures forecourt. Your luggage comes out at the kerb, and you walk straight in.

Book both legs together for one round-trip confirmation, each leg at its own fixed fare per car. The free cancellation terms apply to each leg separately.
